Note: CPE Codewords are only compatible with our Standard Self Check-in Attendance Tracking mode. They are not compatible with Kiosk or Self Reporting Modes.

Add Custom Codewords

  1. Sign-in to the Admin panel
  2. Click Manage Sessions
  3. Edit the desired session
  4. Click Add New Codeword 
  5. Enter the codeword to use and select the Field of Study to associate it with

    Note: Codewords can be a combination of letters and numbers, and be up to two words. Codewords cannot contain non-alphanumeric characters such as punctuation or special characters.

     

  6. Click Add Codeword to create the codeword


     
  7. Click Save to save changes to the session

 

Automatically Generate Codewords

  1. Sign-in to the Admin panel
  2. Click Manage Sessions
  3. Edit the desired session

     
  4. Click Generate Codewords

     
  5. Enter the number of codewords to generate for each credit hour, then click Generate

     
  6. Review the series of three digit numbers that Conferences i/o generates

     
  7. Click Save to save changes to the session.

 

Download and Add Codewords Slides to a Presentation

  1. Sign-in to the Admin panel
  2. Click Manage Sessions
  3. Under Download, click Download Codewords for the desired session
  4. Open the downloaded PowerPoint file
  5. Drag and drop the codewords slides into the appropriate points of an existing presentation file.

Alternatively, Administrators can now bulk-download session information that contains session QR codes, live content slides, or codewords slides.

  1. From the Manage Sessions page, when selecting multiple sessions, administrators can now access a new Download option that will apply only to specified sessions.

Codewords Reporting

  1. Sign-in to the Admin panel
  2. Click Manage Sessions
  3. Click Manage in session's attendance column

     
  4. Review the Attendance Reporting Page to see the progress of each attendee

    Note: For sessions with multiple different types of credit (e.g. hour 1 for Accounting credit and hour 2 for Tax credit), the codeword completions will report separately for each type of credit or field of study.
     

  5. Click Details to view the specific codewords the attendee submitted.

    Note: Codewords that were not submitted by the attendee will be displayed in red text with a strikethrough.

 

Identifying Sessions with Duplicate Codewords

1. Go to the Manage Sessions page.

2. If a session has duplicate codewords, you will see a message that says "Duplicate codewords detected".

 

Replacing Duplicate Codewords

1. On the Manage Sessions page, underneath the session name, click Edit to edit the session.

2. On the Edit Session page, scroll down to the Codewords section. You should see a warning message at the top of the section that says "Duplicate codewords have been detected below: xx", where "xx" lists the duplicate(s).

3. Notice that duplicate codewords are highlighted in the list.

4. Choose one of the duplicate codewords to replace, and click Replace Duplicate. Note that it may be helpful to make a written note of the codeword that is being removed, in case any slide decks or shared assets containing these codewords have already been built out.

5. Confirm the codeword replacement by clicking Replace Codeword in the pop-up modal box.

6. A new codeword will be generated within the same field of study and will replace the duplicate codeword you had selected. For example, the screenshot below shows that "450" has been added where "406" had been, lightly emphasized in green to help identify the change.

Note: The green emphasis of the replaced codeword is temporary and will not appear again after saving the changes. 

7. Continue replacing codewords if there are any other duplicates in this session.

8. Scroll to the bottom of the Edit Session page and click Save to save the changes. You will be returned to the Manage Sessions page.

9. (Optional) If you need to re-build any slide decks, you can download the codewords slides for this session from the Admin > Manage Sessions page.


Best Practices

  • Conferences i/o recommends setting aside 3-4 minutes at the very start of the session to make sure that the instructions are clearly communicated to attendees.
  • An accompanying template script for an announcement that can be made by the instructor or moderator should be read while displaying the How to Join slide. This announcement will instruct the attendees on the CPE requirements and how to submit the CPE Codewords.
  • We recommend setting anchor points -- inserting the first codeword slide near the start of the presentation, inserting the last codeword slide at or near the end of the presentation, and then mixing the rest of the codeword slides proportionately between the two points.
  • Add a minute or two at the end of the presentation to remind attendees to add codewords before leaving verbally and by displaying the Before You Leave reminder slide.
