Progress Tracking

Using Evaluations to Enhance CPA Exam Tracking

Overview

The CPA Exam can be added as a jurisdiction on your site to help track staff progress through each exam section. LCvista provides flexible tools so your firm can choose the method that best fits your workflow.

Before You Begin: Who Does What?

  • LCvista Compliance Team
If your firm chooses to use the CPA Exam jurisdiction, email the LCvista Support Team (support@lcvista.com). This will begin the process of adding the jurisdiction to your site.

  • Admin Users
Once the jurisdiction has been added, all remaining setup steps are owned by your firm’s admin users, including creating programs, uploading SCORM files, mapping requirements, and/or setting up learning plans, depending on which tracking option your firm chooses. Once the LCvista Compliance Team adds the CPA Exam jurisdiction to your site, you’ll be able to assign it to individual user profiles.

CPA Exam Jurisdiction

When you add the CPA Exam jurisdiction to a user profile—whether individually or via Bulk Upload—you will be prompted to enter a Custom Period End Date and select the State in which the user is taking the exam. Once the jurisdiction and flag are assigned, the user’s Compliance section will automatically populate with the CPA Exam requirements.

You will see a breakdown of the exam structure, which typically includes:

  • AUD – Auditing & Attestation

  • FAR – Financial Accounting & Reporting

  • REG – Regulation

  • BAR / ISC / TCP – Discipline area (varies by candidate & state)

  • State-Specific or Additional Requirements (if applicable)

Each exam component appears as a separate requirement within the jurisdiction. As users complete aligned programs, self-attest via SCORM, or submit proof through external approvals, the requirement statuses will update to reflect: Incomplete, In Progress, or Complete.

This gives both admins and users a clear, structured view of CPA Exam progress directly within the Compliance section.

CPA Exam Length:

Some jurisdictions allow 30 months to complete all exam parts, while others allow 36 months. These timeframes may be calculated from the exam date or the score release date, depending on the jurisdiction.

Please enter the Original License Date as appropriate, and include a Custom Period End Date if the jurisdiction uses a 30-month exam window.

Adding a CPA Exam Jurisdiction to a User Profile

Individually:

  • Enter a Custom Period End Date that aligns with the deadline for the jurisdiction where the user intends to become licensed.
  • Select the State in which the user is taking the exam. This selection acts as a flag within the jurisdiction.

Bulk Upload:

  • Include a Custom Period End Date that aligns with the deadline for the jurisdiction where the user intends to become licensed.
  • Select the State in which the user is taking the exam. This selection acts as a flag within the jurisdiction.

After Assignment:
Once the jurisdiction and flag are set, the user’s Compliance section will automatically display the CPA Exam requirements for licensure in that jurisdiction.

Tracking Options for the CPA Exam Jurisdiction

LCvista offers three main pathways for tracking CPA Exam progress. Your firm can choose one or combine multiple, depending on how you validate exam completions, who is responsible for verification, and how much automation you want.

Below is a detailed breakdown of each option: how it works, when to use it, and what it requires.

Option How it Works Who Records Completion Best For Admin Effort Notes
1: External Approvals User submits proof → admin verifies → admin applies credit Admin Firms requiring official documentation Medium No Programs or SCORM required
2A: Programs (Admin-Managed) Admin marks each exam section complete Admin Firms with internal audit/control needs Medium–High More admin ownership
2B: Programs with SCORM Files User self-attests through SCORM courses (offered for download in LCvista Academy) User Firms wanting low admin workload Low SCORM lives inside Program courses, SCORM files can be downloaded from LCvista Academy
3: Learning Plans Organize Programs into a guided path User + Admin Long-term tracking & onboarding Low (after setup) Learning Plans require Programs underneath

Option 1: External Approvals

This method relies on the user submitting proof and the admin verifying and applying credit manually through the Approvals process and the Override Per Jurisdiction option.

Best for firms who:

  • Want staff to upload official exam pass notifications

  • Prefer a manual review process for accuracy and compliance

  • Do not need Programs or Learning Plans to track progress

How It Works:

  1. The user submits an External Credit Approval Request for the section they passed.

  2. They attach their exam pass notice instead of a certificate.

  3. Admin reviews the submission.

  4. Admin manually approves, denies, or sends back for review using the Approvals process.

Pros Considerations

Fastest setup
(no Programs or Learning Plans required)

Admin must manually review each submission

Ensures official proof is attached (pass notices)

User entry required, will need support/guidance

Simple workflow for users (submit → attach proof)

Users cannot self-attest or bypass admin review

Option 2: Programs

Programs can be configured in two different ways depending on how your firm verifies CPA Exam completions. Both options use the same Program structure but differ in how users are marked complete:

  • 2A) Admin-Managed

  • 2B) SCORM-Based (Self-Attestation)

Category 2A: Admin-Managed Program 2B: Program with SCORM Files
(Self-Attestation)
Best For Firms with internal verification workflows Firms that want users to self-attest to reduce admin workload
How Completion Is Recorded Admin manually marks each program complete after verifying with user User launches SCORM file and checks a box to self-attest completion
User Interaction Users required to communicate completion; Admin manually validates completion User completes SCORM activity to generate completion
Setup Requirements Create one program per exam section and map each to the jurisdiction Create one program per exam section, upload SCORM files, and map each to the jurisdiction
Admin Effort (Ongoing) Higher—admins must process and mark every completion Low—status updates occur automatically when users complete SCORM
Accuracy & Control Highest level of admin oversight and validation Depends on user honesty; best for firms comfortable with self-attestation
SCORM Usage Not needed Required; SCORM file attached to each program (available for download on LCvista Academy)

Option 2A: Admin-Managed Programs (Internal Verification Model)

  • This option allows your firm to manage CPA Exam tracking through an internal verification process.
  • Users do not self-attest. Instead, admins manually mark each exam section complete once your internal workflow confirms that the user has passed that portion of the exam.

How It Works:

  1. Admin creates a program per exam section.

  2. Admin connects the Program to the CPA Exam jurisdiction (when creating the Program).

  3. When a user passes a section and notifies the appropriate admin through the firm's established workflow, admins manually mark the program as Passed.

Option 2B: Programs with SCORM Files (Self-Attestation Model)

  • This option allows users to self-attest to completing each exam section.

  • When creating the program, admins should map the program manually to fulfill each section of the exam parts in the jurisdiction.

How It Works:

  1. Admins create programs for each section (Bulk Uploads are also an option, attaching the SCORM to the program).

  2. Admins attach a SCORM package to each program. (SCORM files for self-attestation are available on LCvista Academy, accessible through the LCvista Resource Center or the Community Hub).

  3. When a user passes a section, they launch the SCORM file and check a box to confirm completion.

  4. The program is automatically marked complete and fulfills the mapped CPA Exam jurisdiction requirement.

Option 3: Learning Plans

  • Learning Plans create a structured journey for staff working through the CPA Exam.

  • Programs do the actual tracking; Learning Plans organize the experience to track all sections of the exam in one place and make it visible.

Best for firms who:

  • Want a clear, guided exam pathway for staff

  • Track progress over long periods (months to years)

  • Combine multiple components (Programs, SCORM files, milestones)

How It Works:

  1. Create a Program for each section of the CPA exam (admin-managed or SCORM).

  2. Create a Learning Plan specifically for CPA Exam Tracking.

  3. Add a Milestone for each section of the exam.

  4. Link each program to its aligned Milestone.

  5. Assign the Learning Plan when the CPA Exam jurisdiction is added to the user’s profile, or users can search for the Learning Plan and register themselves.

  6. Users see their entire CPA Exam progress in one view, even if it spans multiple years.

Pros Considerations
Provides a clear, structured CPA Exam journey Learning Plans do not track completions on their own
Ideal for onboarding new hires Requires Programs underneath to do the actual tracking
Offers visibility into progress over months or years Initial setup takes thoughtful design
Can combine SCORM-based or admin-managed Programs Optional features (milestones, auto-assign) require configuration
Low admin maintenance once launched None—ongoing effort is minimal once established

Progress Tracking

Utilize Reports to track progress of CPA exam:

Using Evaluations to Enhance CPA Exam Tracking

Evaluations are an optional but powerful tool you can attach to any course within your CPA Exam Program. They allow your firm to collect important information directly from users, which is especially helpful when tracking exam progress, dates, and documentation that may not be captured through SCORM or admin-managed workflows alone.

Guidance for Designing Evaluation Questions

Consider including:

  • “What is your exam completion date?”

  • “Make sure to upload/send any pass confirmation.”

  • “Select the Discipline exam completed: BAR / ISC / TCP.”

  • “Add any notes or details relevant to your completion.”

You can tailor the evaluation to match the policies and documentation requirements of your firm or State board.
