How to Archive and Update Programs in Learning Plans

Archiving and updating programs within learning plans is essential for maintaining an organized and relevant training catalog. This guide will help you understand the process of archiving expired coursework and updating learning plans as needed.

Archiving Programs

Archiving a program allows you to remove outdated or irrelevant events from default views in administrator-facing menus. When a program is marked as archived, it will no longer appear in areas such as Manage Training, Calendar, and Program Catalogs by default. However, archived programs remain visible to professionals with active session statuses and can still be associated with learning plans and program assignments.

To archive an individual program:

  1. Navigate to Manage Training and locate the program
  2. Select the Actions dropdown
  3. Select the Archive option
  4. Click Save to confirm your changes.

To archive programs in bulk:

  1. Use the Bulk Select By Program ID workflow to multi-select multiple programs using the ID.
  2. Select the Actions dropdown
  3. Select the Archive option
  4. Click Save to confirm your changes.

Or

  1. Access Bulk Uploads within Organization.
  2. Select +Add New and choose Programs as the upload type.
  3. Download and populate the template with the necessary program information.
  4. On the template, include the Program IDs and under column "Archived", enter "TRUE"
  5. Upload and process the request.

Updating Learning Plans

Learning plans are collections of training programs that can be customized in terms of structure, sequence, requirements, and milestones. To update a learning plan:

  1. From the Manage Training hub, search for the Learning Plan
  2. Click the row action icon and select Preview
  3. Click Edit Milestones, then click on the row action icon.
  4. Select Linked Programs to update the programs in the milestones
  5. Select the program(s) and click Assign to Milestone to update the learning plan.

Please Note: It is important to leave the archived programs in the Learning Plan so that users who have completed it will retain their completion status.
