The Complete Session Upload feature allows you to create or update sessions in bulk, including the ability to associate content files directly through the upload process.
Accessing the Feature
Navigate to the feature from your existing session upload options:
Bulk Uploads > Add New > Session (Upload Type)
Once there, you will notice a new value in the Template Specifications table labeled Content File Name.
Step 1: Download and Prepare the Template
- Select Download Sessions Template.

Complete the spreadsheet as you normally would, with the following additional requirements:
- Content File Name: Enter the file name and file type suffix (examples: scorm.zip, media.mp4) for each session.
- Content Type: Set the appropriate type value for each file: SCORM, AICC, xAPI, or MEDIA (video/audio).
Step 2: Upload the Template
- Upload the completed template.
- Verify that the Template Header Validation Results table confirms all required fields, including Content File Name and Content Type, are valid.
Step 3: Select Action
Choose the type of action:
- Create New Sessions
- Update Existing Sessions
Depending on your selection, you may see additional options as described in the bulk upload help documentation.
Click Validate Data and Preview to continue.
Step 4: Handle Content File Uploads
If your sheet includes content file names, you will see errors indicating missing files. You will receive:
- An alert: “There are associated files that need to be uploaded. Click the Upload Content button before validating changes.”
- A count of missing files

- Click Upload Content.

From the modal, you can:
- Upload multiple files at once
- Upload entire folders
- View status updates for each upload
- Files may be reused across sessions. Unused files will be discarded.
- Depending on file sizes, uploads may take additional time.
When complete, click Confirm Files.
Step 5: Resolve Validation Errors
- You will be prompted to validate changes again.
- You cannot proceed until all required files are uploaded or all associations are removed.
- Errors will be shown in red on the left side of the table.
- File names may be updated inline, or associations can be removed as needed.
Once all errors are cleared, click Proceed to Validation.
You will now see:
- A count of uploaded and mapped files
- A notice that unused files will be abandoned
Step 6: Complete the Upload
Click Process Request to finalize the upload.
- You can monitor the import status as you would with other uploads.
- Allow extra time for large uploads.
- Once processing is complete, your sessions will be created or updated as specified.
Best Practices
- Use consistent file naming: Keep names short, avoid spaces or special characters, and use underscores or hyphens if needed. Example: course_intro.mp4 instead of Course Intro (Final).mp4.
- Double-check file extensions: Make sure the extension matches the actual file type (.zip for SCORM packages, .mp4 for video, .mp3 for audio).
- Batch uploads thoughtfully: Large uploads may take longer. If possible, split into smaller groups to minimize upload failures.
- Re-use files where possible: If the same content file applies to multiple sessions, upload it once and reference it across sessions.
- Validate before upload: Use the template validation step to catch mismatched or missing values before uploading files.
Troubleshooting and FAQ

I don’t see the “Content File Name” option on my template.
Download the latest version of the template. If the column is still missing, contact LCVista Support to verify that the feature is enabled for your site. -
I see an error: “ERROR: Content Type: Content File Name is provided but Content Type is not set.”
Ensure that you have selected an appropriate Content Type for every row where a Content File Name is provided. The Content Type must match the file type (SCORM/AICC/xAPI or MEDIA). -
I see an error: “ERROR: Content File Name: This field is only available for SCORM/AICC/xAPI and MEDIA content types.”
Content files can only be included for SCORM, AICC, xAPI, and MEDIA Content Types. Remove content file names for other content types. -
I uploaded my files, but they still do not show a match.
Verify that the file name and extension in your spreadsheet exactly match the uploaded file name. Pay attention to:- Case sensitivity (e.g., File.mp4 ≠ file.mp4)
- Extra spaces
- Missing or incorrect file extensions
