When your firm acquires another firm, or is acquired, LCvista provides a structured data migration service to bring your new professionals' historical compliance records into your existing LCvista site. This policy outlines what is included, what is required from customers, and how the process works.
What LCvista Requires From You
Your assigned Technical Consultant will guide you through each request and provide templates where applicable. The following deliverables are required to complete the migration.
| Data Source | Required deliverable(s) | Notes on Materials |
|---|---|---|
| LCvista | Username mapping file* | Certificate PDFs transfer with completion records. |
| CPL/CeriFi | Data extract, compliance manager report, username mapping file* | Certificate PDFs and training materials are not included in data export. These records must be manually downloaded to be retained. |
| Micron CE Manager | Data extract, compliance report, username mapping file* | CE Manager data extracts must be requested from Micron, and can take up to 21 business days to fulfill. Please request your data as soon as possible. Certificate PDFs may be included in data export. LCvista will load what is received. |
*Username mapping file required if accounts for acquired firm's professionals will exist in the destination LCvista site when data is migrated.
Pre-Kickoff Checklist
To ensure a smooth start, please have the following ready before your kickoff call:
| ☐ | Jurisdiction tracking confirmation Advise which jurisdictions (AICPA, EBP, PCAOB, Yellow Book, in-firm) were tracked in the legacy system. |
| ☐ | Username mapping (if applicable) If professionals already have accounts in your LCvista site, provide a spreadsheet mapping legacy system usernames to LCvista usernames. |
| ☐ | Data extract availability date Let us know when the legacy system export will be available so we can plan the timeline accordingly. |
| ☐ | Contract end date with legacy vendor (if applicable) This helps LCvista prioritize the migration timeline relative to your data access window. |
Implementation Process
All M&A implementations follow the five steps below:
| 1 | Kickoff call (~30–45 minutes) LCvista meets with your team and relevant staff from the acquired firm to align on data, timeline, and logistics. |
| 2 | Data formatting and review LCvista reformats the legacy data extract into standard upload templates. Any issues are resolved with your team before proceeding. |
| 3 | Production load Data is loaded into your live LCvista environment. |
| 4 | Client validation & sign-off Your administrators review the migrated data and confirm accuracy. |
How communication works This engagement is not a standard weekly implementation. After the kickoff call, all communication is handled via email. Your LCvista Technical Consultant is your primary point of contact throughout the process. |
Important Notes on Compliance Data
Please review these items early as they may affect your timeline or configuration.
AICPA, EBP, PCAOB, and Yellow Book These jurisdictions use reporting period configurations specific to each LCvista site. Reporting period end dates may not exactly match what was reflected in your legacy system. Administrators should closely review professionals under these regulators after the data load is complete. |
In-firm Requirements If the acquired firm tracked a custom in-firm CPE requirement, and you want to retain the requirement and its compliance history, this jurisdiction must be configured in LCvista before historical data can be loaded. Notify your LCvista contact early in the process. Additional fees may apply. |
When An Acquired Firm Implementation Fee Applies
Customers may choose between LCvista-assisted migration (fee-based) or self-service migration (no fee).
LCvista-assisted A fee based on seat count applies when LCvista formats and imports historical data on your behalf. Services commence upon invoice issuance. | Self-service No fee required. Your team handles migration independently using LCvista's bulk upload templates and assumes responsibility for data validation. |
