Conferences i/o is replacing the shared Administrator Password with individual accounts. Each administrator will sign in with their own email address and password.
Note: This change is planned for Q4 of 2026. We are sharing details in advance so you can prepare. Both sign-in options will work during the transition, giving your team time to set up accounts without losing access.

What is changing
Today, everyone on your team uses the same Administrator Password to sign in. Because the password is shared, the app cannot tell which person signed in.
Soon, each administrator will have their own sign-in using their email address and password.
You can manage administrators from a new Admins page in the Admin panel. From this page, you can:
- See who has admin access
- Invite a new administrator
- Edit an administrator’s name
- Deactivate someone who should no longer have access
- Reactivate someone later if needed
Each person will show as Invited, Active, or Deactivated.
All administrators have the same level of access. Only add people who should have full control of the app.
Note: Only the Administrator Password is changing. The Moderator Password, App Password, and Q&A Facilitator Password are not changing.
How the rollout works
This change will happen in steps, so your team does not lose access.
Today:
Nothing has changed. Administrators still sign in with the shared Administrator Password.
Soon:
Both sign-in options will work. You can still use the shared Administrator Password while administrators set up their own accounts.
Later:
The shared Administrator Password will stop working for admin access. Each administrator will need to sign in with their own account.
Note: You do not need to turn anything on. We will let you know when this change starts and when it is complete for your app.
What you need to do if you currently have a CIO URL
There is nothing to set up yet. We will contact you with dates and instructions when your app is ready to start.
In the meantime, if your app already exists, keep signing in with your current Administrator Password or via SSO.
To save your team time, when the feature is ready, we will create accounts for administrators we can identify from recent sign-ins.
Note: Some people may be missed because older records are incomplete, shared-password sign-ins do not identify who signed in, and/or if the administrator hasn't been added as an admin to authenticate through SSO.
In the meantime, it helps to write down who currently has administrator access to your app and which email address each person should use. You will need that list when it is time to add everyone, and it is a good opportunity to leave off people who no longer need access.
How to set up & manage CIO administrator passwords
Adding New Administrators:
- Sign in as an Admin
- Under Advanced Settings, Click Admins
- Click Invite an Admin
Setting up your account
When someone adds you as an administrator, you will get an email invitation.
To set up your account:
- Open the email invitation.
- Select Set Password.
- Create your password.
- Go back to the admin sign-in page.
- Sign in with your email address and new password.
If you manage more than one Conferences i/o app, you need to be added to each app separately. You will get a separate invitation for each app.
How to use the Admins page:
Editing Users:
Note: Editing a user will only let you update their first and last name. Invite an Admin if you need to update or change the email
Resend Invitation:
Note: This option will only appear for admins that have not accepted the invitation
Resetting Passwords:
Once an admin has accepted their invitation, the option to Resend Invitation will update to say Reset Password.
Note: The admin must have accepted the original invitation before it will let them reset the password.
Deactivating Users:
The Deactivate option is used when an admin’s rights need to be revoked.
Note: LCvista Support and, where a partner manages your app, your partner's administrators also appear in this list so that you can see everyone with access. Those entries are managed by us and cannot be edited from your app.
Invite Again:
The Invite Again is used to reactivate a past (Deactivated) admin.
Status of an Admin:
- Invited: The admin has been sent an invite to set-up their admin password, but hasn’t completed the steps yet
- Active: The admin has an active login to access CIO as an admin
- Deactivated: The user no longer has the ability to sign-in as an admin
Other changes at the same time
Once your app accepts individual accounts, actions that permanently delete data are confirmed by typing a short confirmation word instead of re-entering the Administrator Password, because administrators no longer share one password.
On single session apps, the Moderator Password also grants administrator access today. Once your app moves to individual accounts only, it still signs someone in as a moderator but no longer as an administrator. Anyone who has been using it to administer the app will need their own administrator account.
Getting help
If you have questions about this change or about who has administrator access to your app, contact Customer Support.
Note: If you are turned away at sign-in and told to contact your site administrator, it means your app does not have an administrator account for you yet. Ask another administrator on your app to add you.
